Subject

Annual Property Inspection — property_address

Hi tenant_first_name,

As part of our routine property management practice, we conduct annual inspections of all units. I'm writing to give you advance notice of the scheduled inspection for Unit unit_number at property_address.

INSPECTION DETAILS

• Unit: unit_number, property_address

• Date: inspection_date

• Time Window: inspection_time

• Inspector: inspector_name

PURPOSE OF THE INSPECTION

Annual inspections allow us to identify maintenance issues early — including things that may not yet be visible or impacting you but could worsen over time. It's also an opportunity for you to flag any concerns about the property that you'd like us to be aware of. This inspection is not punitive and is conducted at all properties on a regular schedule.

WHAT TO EXPECT

The inspector will check general condition of the unit, major appliances, plumbing, HVAC, smoke and CO detectors, windows, and any visible structural elements. The inspection typically takes 30–45 minutes. You are welcome (but not required) to be present.

ACCESS

If you will not be home during the inspection window, we will proceed using our management key access — this is permitted under your lease with proper advance notice. If this date creates a significant conflict, please contact us at least 5 business days before the scheduled date so we can arrange an alternative.

Thank you for your cooperation. Questions? Call me::phone.

Workflow context
When to use this workflow

Use this workflow when a property manager needs to notify a tenant about an upcoming annual inspection with proper advance notice.

What this replaces

This replaces rewriting inspection notices, manually entering property details, and checking whether the tenant received the date, time window, inspector name, and access information.

Why teams standardize this email

Inspection notices need to be clear, consistent, and respectful of tenant expectations. A workflow helps property teams include the required details while keeping the message reviewable before sending.

What Toggles adds beyond a normal Outlook template

Toggles inserts the workflow directly in Outlook, prompts for variables, prepares operational details, and keeps the draft editable before sending.

  • Inserts the annual inspection scheduling email in Outlook
  • Prompts for tenant name, property address, unit number, inspection date, time window, inspector name, and phone number
  • Adds a property-specific subject line
  • Keeps access and preparation language consistent
  • Leaves the draft editable before sending
FAQ
Does Toggles schedule the inspection automatically?

No. Toggles prepares the Outlook email after the inspection has been scheduled through your existing process.

Can the property manager edit access instructions?

Yes. The draft remains editable before sending.

Does this replace legal notice requirements?

No. It standardizes the email draft. Property managers should still follow lease terms and local notice requirements.
